PURPOSE OF the function
The Bid Board Coordinator is responsible for providing support to our sales team by ensuring the smooth running of the tender management process, customer requests and technical documents. He or she will be responsible for keeping the complete project list rigorously up to date, and for informing the people involved of any changes. He or she will also be responsible for monitoring the lowest bidder.
The complete management of tenders will be carried out in close collaboration with Project Managers, Inside and Outside Sales Representatives, and with the support of Technical Directors.
RESPONSIBILITIES
- Manage inbox and phone call requests for tenders
- Update or open each project in the ERP system and on our server
- Conduct a pre-analysis of plans to target equipment that we could potentially bid on
- Transmit processed information to the right representative
- Coordinate the reception and transmission of technical documents for projects already on going
- Continuous update of closing dates
- Sending our final quotation to customers
- Follow-up to find the lowest bidder
- Attend training sessions at the office as well as at manufacturers’ plants, as part of ongoing training

REQUIREMENTS
- College or Professional Diploma in a relevant field
- HVAC experience is an asset
SKILLS
- Bilingual, excellent command of French and English (spoken and written)
- Proficiency in Microsoft Office suite
- Mastery of various sales and customer service platforms
- Technical knowledge of the HVAC field
